HubSpot is known for being easy to use, but a quick start is not the same as a good setup. Many teams discover months later that their pipelines, properties and reports do not match how they actually sell. This checklist covers the ten steps that make the difference.

The 10-step checklist

  • 1. Define goals: write down what success looks like in six months—more leads, faster follow-up, better reporting.
  • 2. Choose the right hubs and tiers: Marketing, Sales, Service, Content, Data or Commerce, and whether you need Professional or Enterprise features.
  • 3. Plan your data model: decide which properties you need for contacts, companies and deals, and remove anything no one will use.
  • 4. Design pipelines and deal stages that match your real sales process, with clear exit criteria for each stage.
  • 5. Clean and migrate data: de-duplicate contacts and companies, map fields and run a test import before the final migration.
  • 6. Connect email, calendar and your website forms so every lead and conversation is captured.
  • 7. Set up marketing basics: domains, email templates, lists or segments, lead scoring and a first nurture workflow.
  • 8. Integrate key systems such as your accounting tool, e-commerce platform, telephony or ERP.
  • 9. Build dashboards for leadership, managers and reps before go-live, not after.
  • 10. Train by role and review adoption in the first 30 and 90 days.

Migrating to HubSpot from another CRM

If you are moving from Salesforce, Zoho or spreadsheets, spend most of your effort on data quality and mapping. Bring over what you need to sell and report, archive the rest, and validate record counts and key fields after each test load.
